This Privacy Policy explains how the Asset Vault App (the App) collects, uses and protects your data when you use the application.

By using the Asset Vault App, you acknowledge and agree to the terms outlined in this Privacy Policy.
1. Data Collection

The App collects the following categories of data, also all data remains stored in Power platform environment:

  • User Information: Name, email address and role.
  • Asset Vault Data: Data generated and stored as part of asset lifecycle management, including acquisition, transfer, inspection and maintenance.
  • Uploaded Images: When you upload images or documents to the App, the files are securely stored in your Microsoft Dataverse instance within your Microsoft 365 tenant.
The App uses uploaded images and data solely to support its operational processes. All data is securely stored in your Microsoft Dataverse instance within your Microsoft 365 tenant. We do not have access to any of your data.
2. How the App Uses Your Data
The App collects data for the following purposes:
  • Enabling full asset lifecycle management
  • Supporting acquisition, transfer, inspection, and maintenance workflows
  • Generating reports, summaries, and analytics
  • Sending notifications related to tasks, approvals, and process updates
  • Improving user experience
All data is securely stored in your Microsoft Dataverse instance within your Microsoft 365 tenant. We do not have access to any of your data.
3. Data Storage & Security
  • All data is securely stored in Microsoft Dataverse, which complies with Microsoft’s security and compliance standards.
  • Data Retention: The App itself does not retain uploaded images or user-provided asset data. All data and images exist solely within the cloud storage (Dataverse/Azure Storage) in your Microsoft tenant. The App does not apply any custom data retention policy; it fully follows and respects any Data Retention policies configured within your Microsoft Power Platform environment.
  • Security Measures: While the App processes your data, it implements Microsoft’s security measures and respective cloud storage protections to maintain the confidentiality and integrity of your information. Please refer to the privacy policy of your Microsoft Dataverse. If you have any concerns, you can ensure your privacy by not uploading sensitive or confidential information.
4. Data Sharing & Third-Party Services
  • The App does not share data with unauthorized third parties.
  • The App integrates with Microsoft Power Platform services, including Power Automate and can be used with Power BI, and SharePoint, to enhance functionality further.
  • Any third-party integrations will comply with applicable data protection regulations.
5. Rights & Data Control
System Admins in the Power Platform have the right to access, update, or delete any data.
6. Compliance & Regulations
  • The App complies with applicable data protection laws, including GDPR, CCPA, and Microsoft compliance policies.
  • Microsoft Dataverse ensures data residency and compliance with industry standards.
