Automated Sales Order Migration Using Power Automate & Attended RPA

A business transitioning from a legacy system to a new ERP platform faced a critical data migration challenge: high volumes of sales orders and invoices needed to be transferred accurately, consistently, and at speed. Every customer submitted sales data using unique CSV layouts featuring diverse column headers, naming schemes, and data structures—resulting in a complete lack of a uniform input format for processing. Manual data entry from these CSVs into the new ERP system was slow, error-prone, and completely unscalable for the volume required. Without an automated, traceable migration pipeline, the ERP go-live timeline was at risk, data integrity could not be guaranteed, and errors during processing were nearly impossible to identify and resolve efficiently.
We designed and delivered a hybrid RPA and cloud automation pipeline using Power Automate Cloud Flows and Power Automate Desktop (Attended RPA) — purpose-built to automate the end-to-end sales order migration process. When a CSV file is uploaded, a Power Automate Cloud Flow automatically triggers, reads file metadata, validates content, and orchestrates all required parameters — including customer context, client-specific field mapping logic, and credentials — before handing execution to the Attended RPA desktop flow. Power Automate Desktop then logs into the ERP system, applies the correct client-specific column mappings, processes each sales order row, and submits the data accurately. Intelligent error handling ensures that successes are logged and files marked complete, while failures trigger automated email notifications containing full error details, flow run references, and the original CSV for rapid troubleshooting and resolution.
