AI Copilot Assistants for FunctionPoint Built with Microsoft Copilot Studio

A professional services team relying on FunctionPoint as their core agency and project management platform was losing significant time each day to repetitive, manual system navigation. Creating estimates, logging hours, retrieving job updates, and managing project records all required moving through multiple screens and manually completing numerous form fields. With no conversational interface or AI interaction layer over their platform, even routine operational tasks demanded unnecessary cognitive effort and click-heavy workflows. Inconsistent company name inputs caused record mismatches and failed lookups, hours logging required multiple searches per entry, and the daily drag of manual navigation was silently degrading team productivity across every department.
We designed and delivered two purpose-built intelligent AI conversational assistants — FunctionPoint Assistant and Hours Assistant — using Microsoft Copilot Studio, fully integrated with FunctionPoint APIs. Each assistant is structured around topic-based conversational design: users interact in natural language to create estimates, retrieve project and job information, log hours, and update records — with the assistant automatically parsing user intent, extracting key field data, resolving company names via a closest-match AI entity recognition engine, and executing secure, real-time API calls to FunctionPoint. Dynamic Adaptive Cards guide users through structured submissions with auto-populated known fields, while global context variables preserve full conversation continuity across multi-step workflows. The result is a single, scalable, AI-powered enterprise operations assistant that eliminates manual navigation and makes every FunctionPoint workflow fully conversational.
