Case Study

Worker Form Submissions & Equipment Inspection Portal

A company specializing in environmental remediation, demolition, heavy civil, and general contracting services, required a modern website where field workers could easily submit daily checklists, vehicle inspections, and repair requests. Their previous website built on Copilot Studio failed to support file attachments, a critical obstacle for uploading proof of damage or maintenance records and also lacked the layout flexibility needed for their field operations.

To resolve these functionality gaps, they partnered with Artesian Software Technologies to deploy a professional replacement portal. We delivered a fully custom Microsoft Power Pages website to streamline equipment and trucking workflows, which enables seamless anonymous form submissions, secure file uploads, and automated real-time data synchronization directly to Dataverse and SharePoint.

The Challenge

  • No File Attachment Support: Workers could not upload photos or documents with their repair requests or safety checklists, rendering the forms incomplete.

  • Disconnected Document Upload Process: Attachments could not be submitted simultaneously with the initial form, so the workers were forced to upload files only after the record was already created.

  • Broken Mobile UI Layouts: The original system lacked responsive breakpoints, causing DOM layouts to break when field workers tried to type on mobile devices.

  • Redundant Double Submission Workflow: To successfully attach required files, the legacy system forced field workers to submit the exact same record twice.

  • Missing Corporate Brand Identity: The portal lacked a custom domain and company CSS, presenting a generic interface rather than a trustworthy corporate tool.

Our Solution

  • Power Platform Anonymous Access Architecture: Configured the Dataverse schema and enabled anonymous web roles, allowing unauthenticated field workers to securely submit data without requiring logins.

  • Liquid Templates & Custom Pages UI: Developed a responsive Power Pages interface utilizing Liquid templating and custom CSS for segmented Equipment and Trucking workflows.

  • Native File Uploads & FetchXML Filtering: Leveraged out-of-the-box Power Pages file upload features to store attachments in standard Dataverse tables, utilizing FetchXML queries to filter records accurately for sync.

  • Asynchronous Power Automate Sync: Deployed automated Power Automate cloud flows to copy records from Dataverse, instantly populate SharePoint Online folders, and link the records together.

  • Custom DNS & Mobile-First CSS: Mapped a custom corporate domain and utilized CSS media queries to ensure strict DOM responsiveness across mobile endpoints.

Business Impact

  • Critical File Attachment Support Live: Field workers can now successfully upload photos and maintenance documents directly to their form submissions with zero workarounds.

  • 60% Faster Form Submission Process: Replacing the broken interface with a categorized web portal allowed remote field workers to complete and submit accurate forms 60% faster.

  • Centralized Dataverse & SharePoint Storage: All submitted entries and paperwork sync instantly to the cloud, creating a fully organized and searchable record history for managers.

  • Flawless Performance on Any Mobile Device: The responsive design allows workers to submit data from anywhere on-site using standard smartphones with the exact same reliability as a desktop.

  • Professional Company Web Presence: Setting up a custom domain and brand styles removed generic templates, giving the client a high-quality, trustworthy online portal.

Our old Copilot Studio setup looked nice, but it was basically useless since our crew couldn’t upload photos or files to their mechanic requests. The Artesian team stepped in and built us a Power Pages site, which fixed the issue completely. Now, our guys can easily submit everything right from their phones out in the field, and all the attachments save automatically to SharePoint. It’s exactly what we were looking for! — Operations Manager (Environmental Remediation & Heavy Civil Contracting)
