Warehouse Barcode Scanning & Inventory Management App

A leading medical and pharmaceutical supplier required a highly reliable, mobile-first inventory validation system to eliminate order picking errors without exposing their live production Firebird database. Mismatches were going undetected because staff had no fast way to verify that what had been picked and packed actually matched what the order required. Manual cross-checking was slow, inconsistent, and impossible to scale, so they needed a mobile-first verification solution that worked seamlessly with their existing Zebra scanners. To design and build it, they partnered with Artesian Software Technologies.

We delivered a highly secure, three-phase warehouse verification system. First, we established a secure, read-only data mirror from their Firebird database into Microsoft Dataverse using a custom .NET 8 application. Next, we built a WinUI 3 Windows desktop app that prints a verification dispatch slip for each job, listing everything expected to be picked, with a QR code for fast scanning. Finally, we deployed a custom Power Apps Canvas mobile app tailored for their Zebra scanner devices. This allows warehouse staff to instantly validate each scanned item against target quantities in real time, drastically improving order accuracy and operational speed.

The Challenge

  • No Real-Time Order Scan Validation: Warehouse staff could not instantly confirm if a scanned item matched the sales order, meaning errors were only caught after items were already packed.

  • Firebird Database Security Risks: As a regulated medical supplier, the client could not safely connect cloud-based mobile apps directly to their live, internal Firebird database.

  • Error-Prone Manual Dispatch Lists: Picking sheets were printed on standard paper without scannable barcodes, forcing staff to manually match labels and introducing frequent human errors.

  • Underutilized Zebra Barcode Hardware: The warehouse already owned Android Zebra barcode scanners but had no integrated software to use them for real-time validation.

  • No Audit Trail for Completed Picks: Once a pick was confirmed as ready to ship, there was no record of what had been scanned and verified against the order.

Our Solution

  • .NET 8 Firebird to Dataverse Data Sync: Built a secure .NET 8 Console App that syncs live Firebird DB changes to Dataverse every 30 minutes, utilizing Windows Task Scheduler and Serilog.

  • WinUI 3 QR Code Dispatch Software: Developed a Windows 11 application that generates print-ready PDF verification dispatch slips with scannable QR codes for fast mobile processing.

  • Power Apps Zebra Scanner Mobile App: Built a Canvas App for scanning dispatch QR codes and items. It provides instant audio-visual feedback for hands-free scanning and saves completed sessions to Dataverse for a full management audit trail.

  • Real-Time Pick Session Tracking: Implemented an in-memory live tracking screen displaying color-coded progress (green, yellow, gray) for every scanned line and lot.

  • Multi-Method Barcode Scanning UI: Designed a flexible interface supporting built-in device imagers, cameras, or manual UDI string entry so staff are never blocked by unreadable barcodes.

  • Zero New Hardware Investment: The Power Apps solution was built specifically for the Android Zebra scanners the client already owned, saving massive hardware costs.
